Who are we and what do we do?
Who we are
We are econic². We upgrade homes to e-homes, with an
independent, modern and gasless energy system
(“e-home”). We do this with heat pumps, solar panels and
smart meters (“Equipment”). This makes the heating and
energy in your home completely electric. You can find
more information about our services on the website:
www.econic.homes (“Website”).
What is this?
This is a Privacy Policy. In this document we explain what
kind of personal data we collect when performing our
contract. We also explain for what purposes we use the
data, how we secure it and how we store it.
This Privacy Policy: e-home applies to our contracts
(rental contracts and service subscriptions), whereby we
install, maintain and monitor the Equipment and
technology in your (future) e-home (“Contract”).
Privacy and the Relevant Legislation
We think your privacy is very important. We comply with the new General Data Protection
Regulation (“AVG”), which replaced various privacy laws in European member states as of
May 25, 2018. All the legislation mentioned here will hereinafter be referred to collectively as the
“Relevant Legislation”.
What are ‘personal data’?
With personal data is meant all information with which you can be directly or indirectly identified. This definition is in
accordance with the Relevant Legislation. This is, however, a broad definition: even dynamic IP addresses are considered
personal data under certain circumstances.
Our position as Processing Officer
We collect and process personal data in the context of our Quick Scan for our own services. We determine the purpose
and means of these processing of personal data. This means that we act as “Processing Officer” within the meaning of
the Relevant Legislation.

Which personal data do we collect and for what purposes are they used?
In the context of the Contract we may collect the following personal data for the purposes mentioned:

- deliver the Equipment to the correct address and to correctly address invoices.

We use this data to:
- contact you in the context of your Contract;
- keep you informed of updates about our services.
This data is necessary to execute

Phonenumber
We use this data to:
- contact you in the context of your Contract
This data is necessary to execute

Gender
We use this data to:
- salutation in communication
We have a legitimate interest to
properly approach you in our
communication.
Monitor data via
NIBE uplink:
- Customer ID
- Notifications of malfunctions
- Sensor data (indoor and outdoor temperature, air pressure)
- Technical data (operation and speed of Equipment)
- Energy consumption measurement data (including room temperature, cooling and heating, operating time cooling and heating)
We use this data to:
- check whether your Equipment is working properly and see if maintenance or repairs are needed;
- measure, analyze and convert the energy consumption in your home into measures that reduce energy consumption and network load;
- prepare a quarterly monitor report, in which you gain insight into your energy consumption. This is part of the Contract. The monitor report includes information about the functioning and efficiency of your equipment, tips to improve your efficiency and an overview of your consumption and saving of energy
We only use this data if you have
given unambiguous permission for
this via the form attached to the
agreement.
You can always withdraw your
permission. From that moment on
we will no longer process any of
your monitor data. This also means
that from that moment on your
Contract will end, because we
cannot monitor and maintain the
Equipment without this monitoring
data.
In the context of your Contract
we only view the monitoring data
to the extent that this is necessary
for the purposes described in this

Monitor data via
Solaredge
(only when using solar
panels):
- Customer ID, address, installation date, peak power
- Electricity production of solar panels per day / week / month / year
- Additional energy from energy supplier
- Energy consumption per day / week / month / year
We use this data to:
- check whether your Equipment is working properly and see if maintenance or repairs are needed;
- measure, analyze and convert the energy consumption in your home into measures that reduce energy consumption and network load;
- prepare a quarterly monitor report, in which you gain insight into your energy consumption. This is part of the Contract. The monitor report includes information about the functioning and efficiency of your equipment, tips to improve your efficiency and an overview of your consumption and saving of energy
We only use this data if you have

- Frequency of energy use
- Comparison energy consumption with respect to averages

- check whether your Equipment is working properly and see if maintenance or repairs are needed;
- measure, analyze and convert the energy consumption in your home into measures that reduce energy consumption and network load;
- prepare a quarterly monitor report, in which you gain insight into your energy consumption. This is part of the Contract. The monitor report includes information about the functioning and efficiency of your equipment, tips to improve your efficiency and an overview of your consumption and saving of energy

- collect the payments for the Contract.
This data is necessary to execute the
agreement between you and econic.
IP adress
We use this data to:
- marketing purposes. To be able to make the best possible experience and tailor-made offers.
We only use this data if you have given
your explicit permission for this via our
cookie banner.
How long do we keep the personal data?
We delete the personal data as soon as they are no longer necessary for the above purposes. For this we use the
following maximum retention periods:
- Contact and payment details: as long as we have an agreement with you and 7 years after, in connection to our duty of administration for the Tax Authorities;
- Monitor data: as long as we have an agreement with you and a maximum of 13 months after for an annual monitoring report.

Do we share your personal information with others?
In the context of the Contract, we use a number of parties that process personal data for us (“Processors”). For example,
we use Processors to host our website, store (personal) data, maintaining our CRM system, sending out questionnaires
related to our services, sending our e-mail messages and linking different systems to speed up the workflow.
For monitoring your energy consumption and the energy production of your Equipment, we use: NIBE uplink, Solaredge
and Enelogic. In the table with (personal) data earlier in this document you can see which data each of these Processors
processes. You can also always log into the portals of the above Processors to view your usage data.
We may also share some of your personal information with parties that support us in maintaining and repairing the
Equipment (“Maintenance Party”). In this case, the monitor data is shared (only to the extent that it is necessary for
maintenance or repair) and your address, so that the Maintenance Party knows where the maintenance or repair must be
performed. We will always tell you, before your personal details are shared with a Maintenance Party, which Maintenance
Party is involved.
Apart from the above, we will not share your information with third parties – unless we are legally obliged to do so.
Export of data outside the European Union
We may transfer personal data to parties outside the EU if one of our Processors is located outside the EU. The personal
data will only be transferred to countries and / or parties that offer an adequate level of protection that complies with
European standards.
The transfer of data outside the EU will always take place in accordance with the Relevant Legislation (Chapter 5 of
the AVG).
General aggregated (non-personal) data
We can convert your personal data into non-personal data. This means that the data will be completely and irreversibly
anonymized and merged: they no longer contain any personal data because no identification can take place based on the
data. We can share this aggregated data with trading partners for analysis purposes, the creation of demographic profiles
and the improvement of our services.
How do we protect the personal data??
We protect all personal data that we process against unauthorized or unlawful access, modification, disclosure, use and
destruction. We take the following technical and organizational measures to protect the data:
- Limited access to (personal) data for employees via two-step verification;
- Security of our network connections via Secure Socket Layer (SSL) or Transport Layer Security (TLS) or similar technology
- Restriction of access to monitor data to only employees who must have access to it in the light of their duties.
Cookies
We may use cookies on our Website. We act as Processing Officer. A cookie is a simple small text file that can be placed
on your computer when you visit the Website. This text file identifies your browser and / or computer. When you visit our
Website again, the cookie ensures that our Website recognizes your browser or computer.

You can find (hyper) links on our Website that link to the websites of partners, suppliers, advertisers, sponsors, licensors
or other third parties. We have no control over the content or the links that appear on these websites and we are not

Changes to this privacy policy
We are constantly looking for ways to improve our services. We may therefore update this Privacy Policy: e-home
from time to time. If we make significant changes, we will make a report on our Website together with the updated
privacy policy.
Your rights and our contact details
As described in the Relevant Legislation, you have the right to:
- Request us to correct or update your data;
- Request us to remove your data from our database without stating reasons;
- Request a copy of all personal data that we have processed from you. We can also forward this copy to another data manager at your request;
- Withdraw your consent to the processing of your data. This does not affect the validity of the processing operations before the moment you withdraw your consent;
- File an objection against the processing of your data;
- Submit a complaint to the Dutch Data Protection Authority if you think that we are processing your data unlawfully.
